Flexible pricing designed for Meals on Wheels and community food programs

We know every program is different. Some organizations need a simple way to manage clients, meals, and route sheets. Others need volunteer scheduling, driver access, reporting, billing support, special diets and data migration.

That is why our pricing is flexible. Smaller programs do not have to pay for features they do not need, and growing organizations can add more tools as their operations expand. Small programs can also take advantage of a discount on monthly subscriptions.

Prices are available in both Canadian and U.S. dollars. Canadian organizations are billed in CAD, and U.S. organizations are billed in USD. Download our pricing sheet for detailed onboarding, monthly subscription, add-on, and support pricing.

Monthly subscriptions start at $350 CAD /$275 USD per month, and billing begins only once your organization goes live. Pick and choose from additional add-ons that work for your program.

License and Onboarding fees range from $1,000 to $5,000 CAD, or $1,000 to $4,000 USD, depending on your organization’s size, selected onboarding package, and level of support needed. Average licensing and onboarding is around $1,750 CAD.  There may be additional costs for additional training and data migration not covered within the selected package. 

Monthly subscription pricing

Your subscription gives your organization access to the software, ongoing updates, and the tools needed to manage your meal delivery operations.

Subscription pricing depends on your selected features, and optional add-ons. Small-program discounts are available for eligible organizations. Monthly subscriptions are billed monthly unless otherwise stated in your agreement.

We split features into core tools and optional add-ons so that smaller clients are not paying for advanced features they may not need.

Small-program discounts

We offer a 50% discount on monthly subscriptions for organizations serving fewer than 75 clients.

This helps smaller Meals on Wheels and community meal programs move away from spreadsheets, paper route sheets, and manual tracking without taking on software costs built for larger organizations.

If your program is small but growing, Better Meal Delivery can start with you and expand as your needs change.

 

The small-program discount applies to the core monthly subscription and all add-ons.

All pricing is subject to applicable taxes. Final pricing will be confirmed in your quote or service agreement.

License & Onboarding Options

Every organization needs some level of setup before going live. We offer three onboarding options, so you can choose the support level that works best for your team.

 

Each option includes a license.  The license portion provides your organization with the right to access and use the Better Meal Delivery platform under our service agreement and covers the cost to create your environment.

Self-Directed Onboarding — $1,000 CAD / $1,000 USD

Our self-directed onboarding option is ideal for organizations that are comfortable completing more of the setup process themselves.

This option includes access to onboarding resources and guidance to help your team configure Better Meal Delivery for your program.

Best for organizations that:

  • Have a smaller or simpler program

  • Are comfortable working through setup steps

  • Have clean client, volunteer, route, and meal data

  • Want to keep upfront costs lower

 
Premium Onboarding — $1,750 CAD /$1,500 USD  

Premium Onboarding is our recommended option for organizations that want more hands-on support and is our most popular onboarding package.

Premium Onboarding includes:

  • Up to 8 hours of setup and training support

  • Up to 8 hours of data migration support

  • Guidance configuring your program, meal types, routes, users, and key settings

  • Support preparing your team for go-live and post go-live check-ins

This option is a good fit for organizations that want help moving from spreadsheets, Access databases, or another system into Better Meal Delivery.

Enterprise Onboarding — $5,000 CAD /$4,000 USD

Enterprise Onboarding is our recommended option for organizations that have multiple divisions, many add-ons and/or more than 500 clients.

Enterprise Onboarding includes:

  • Up to 16 hours of setup and training support

  • Up to 16 hours of data migration support

  • Guidance configuring all aspects of BMD 

  • Support preparing your team for go-live 

  • Up to 24 hours of custom configuration, approved customization work, and post go-live check-ins

This option is a good fit for organizations that have a large volume of clients, data, teams and specialized work flows.

License and Onboarding fees are due upon signing the contract and before onboarding begins. With the Enterprise Onboarding package, we offer an alternate payment option, where you can pay half up front ($2,500 CAD/ $2,000 USD) and the remaining amount, over the next 10 months ($250 CAD / $200 USD).  

Billing starts when you go live

We do not charge your monthly subscription while your organization is still setting up.

Your monthly subscription begins once your organization goes live with Better Meal Delivery.

This gives your team time to complete onboarding, prepare your data, train staff, and get ready before monthly subscription billing begins.

This helps reduce costs while your organization is still maintaining an existing system and preparing to transition to Better Meal Delivery.

Additional services

Additional training, customization, or support services are available at:
